How-toActivities & collaboration

Edit an activity

All activities share the same layout. Which areas an activity has depends on its type: a note has only the essentials, a task also has details and a checklist.

The name is shown at the top. If you do not enter one, Salesware assigns a default name with a timestamp. The clearer the name, the easier it is to find the activity again.

As soon as you click into the field, formatting, lists, special characters, emojis, links, images and tables are available. You can enlarge the field with the mouse; for longer texts, open it in a larger view.

This is where communication about the activity takes place: messages with timestamps, replies, mentions. Every colleague can write here – even without being a participant of the activity. More in Comment and discuss.

For an activity you can set reminders with date and time – several of them, and for other users as well. When a reminder is done, the person who created it gets a notification. In the navigation filters you can distinguish between sent and received reminders.

Particularly important details are shown as tiles at the top of an activity. One click into the tile is enough to change the value.

Some values are calculated automatically by Salesware from other details. If your administrator has set up such a field as “Read only”, you see the value but cannot overwrite it.

In the details you enter further information: free text (sometimes with limited length), selection lists, dates, the status and links to records such as customers, contact persons, orders or shopping carts.

  • When you select an item, Salesware first suggests matching items – from linked quotes, orders or shopping carts, for example. The search still covers the entire item range.
  • In multi-line text fields you insert a timestamp with one click and keep chronological notes.

Some fields have a function, such as “User” or “Owner” – they automatically make the person entered a participant. See Add and remove participants.

A checklist helps you work through individual steps. As a participant you can add entries, mark them as done or delete them.

  • You change the state of an entry by clicking the icon in front of it. Completed entries remain easy to read.
  • Progress is shown as “done / total”, for example 3/6. An empty checklist shows no counter.
  • Within a structure you see the checklist progress directly after the title of each activity: grey as long as nothing is done, blue once work has started, and green when everything is done.
  • Checklists can also be shown in lists, tiles and the info column.
