How-toActivities & collaboration
Link data to an activity
You can link data from the ERP system (quotes, orders, items, contacts) and from Salesware (mails, shopping carts) to an activity. Then you
- see all data on the case at a glance in the activity,
- jump to the data with one click,
- also see the activity in the linked record.
There are three ways. They differ in what the record is linked to – the single activity, the collection, or both.
In the details of an activity
Section titled “In the details of an activity”If a field in the details or key figures shows a link icon, start typing and select the record from the suggestion list.
Linked to: this one activity only.
In the overview of a collection, structure or notice
Section titled “In the overview of a collection, structure or notice”- In the overview, under “+ Add”, click the kind of record.
- Search for the record and select it from the suggestion list.
Linked to: the collection, the structure or the notice.
Clicking the added element shows the same information as the quick view. This is also how you add files and links:
- You change the titles of files and links directly in the activity – for example to a meaningful name instead of the file name.
- You open images and PDF files enlarged without leaving the activity.
- You play audio and video files directly in the activity.
- E-mails linked as a file (.eml or .msg) are displayed directly by Salesware – with sender, recipient, subject and content, without you having to download the file.
From the record
Section titled “From the record”If you have the record in front of you – in the quick or detail view, in a tile or table – it also works the other way round:
- In the record’s three-dot menu, select “Add to activity”.
- Click one of the five most recently edited activities or search for the one you want at the top of the dialog.
Linked to: the collection, the structure or the notice and every activity it contains.
What this means in everyday work
Section titled “What this means in everyday work”Example: You write a visit report for a customer.
- If you only enter the customer in the “Contact” field of the visit report, the customer shows the visit report under “All activities” – but not the collection.
- If you add the customer to the overview of the collection instead, the customer shows the collection.
- If you do both, several activities are assigned to the customer.
None of the ways is better than the others. Decide based on what your colleagues should see later on the customer.
Create an activity from a mail
Section titled “Create an activity from a mail”If you create an activity directly from a mail, not only the mail is linked but also all ERP data already linked to the mail – such as the customer or an order.
